Last-minute changes: when the final list is never really final

A last-minute change to event registration is a registration, cancellation, or substitution that is received shortly before the event date and immediately affects the participant list, badges, and access control.
You request the final list a week in advance. You receive it two days before the event, and on the morning of the event, four more names are added. It’s not that your client doesn’t understand; that’s just how events work. The question is whether your system can handle it. Activo has been working with event agencies since 1997, offering fast and flexible service at competitive rates.
Where things go wrong with manual input
A change affects several things at once: the participant list, the badge, the catering export, and access control. If you make the change manually, something is bound to be left out. In the event registration system, you can make the change in one place and it will be reflected everywhere.
Not only does that save you time, but more importantly, it prevents the kind of mistake you’d only discover at the counter, with your client standing right next to you.
Hassle-free replacements
If a colleague takes their place, that person will receive their own e-ticket with a new, unique QR code, and the old one will expire. Their name will appear on the badge. If the original participant had selected any sessions, those selections will be transferred or must be made again; if a session is now full, the participant will be placed on the waiting list, which automatically moves forward. See e-tickets, badges, and lanyards for details on implementation.

On the morning of the event
Activo is on-site. If someone arrives who isn’t on the list but is supposed to be there, that will be handled at the reception desk while the line continues to move. A scan takes just a few seconds; see access control at event venues. At events such as World of Incentro and the Automotive Expo, Activo handled access control in this manner.
For you, that’s the difference between being behind the table yourself and being able to assist your client. With more than 5,000 events supported, this has now become routine.
What you deliver to your client
Every scan is recorded, so you can track attendance in real time and generate a report afterward showing who was actually present. No manual counting, no disputes. If you want to manage more on your own, there’s Activo NEXT: the self-service event platform with support from Activo whenever you need it.
Participant data is processed in compliance with the GDPR, in accordance with the privacy and security requirements of clients such as ASML, KPN, and the Dutch Judiciary.
