Budgeting for event registration: making the right choices

Visitors at a business exhibition, with an overview of the registration budget: setup, materials and support.

When preparing your event budget, you need to know how much to allow for registration and reception, and what that amount covers. Think about online registration, attendee communications, badges and support on the day. Clear assumptions help you compare proposals and explain your choices to colleagues or the budget holder.

Start with the attendee journey

Walk through the event from the invitation to arrival. What information will you collect? Will attendees choose a workshop? What information and access rights should each attendee group’s e-ticket include? And who helps at the entrance if someone cannot find their ticket?

This gives you a clear picture of the setup and support required. An internal knowledge-sharing event with one registration process needs a different approach from an event where customers, speakers and employees each follow their own programme.

Break your registration budget into clear categories

Separate the work needed to set up the registration process from costs linked to quantities, event days or staff time. Setting up a form takes work before registration opens. Badge quantities and support requirements depend on the format and scale of your event.

Budget categoryWhat should you include?
Setup and communicationsEvent website, forms, attendee groups, invitations, confirmations, reminders and testing.
Additional featuresFor example, session selection, paid registration, access rights or an Event App.
MaterialsBadge and lanyard quantities and specifications; scanners, printers and consumables required.
Support and deliveryWork during preparation and on site, including dates, hours and responsibilities.
Options and changesItems you may add later, and arrangements for extra quantities, hours or tasks.

For each category, record the assumption, the person responsible and the amount quoted. Note whether the amount is fixed, charged per unit or based on actual use. This makes it clear which choices affect the total.

Include your own team’s time

Agree which tasks your team will handle and which your event partner will take on. Who supplies the copy and brand assets? Who answers attendee questions, checks the data and manages reception?

Allow time for your own team’s work as well. A task can use valuable time even when it does not appear on your event partner’s invoice. This helps you decide which responsibilities fit your team’s capacity and where support would make preparation or the event day easier to manage.

Compare proposals on the same basis

Compare the same tasks, quantities and staffing. Check each proposal for the following:

  • Which features, materials and tasks are included?
  • How many attendees, event days and working hours does it cover?
  • What support is available during preparation and on site?
  • Which amounts are optional or depend on actual use?
  • How are changes and any transaction fees calculated?

Compare all amounts on the same basis, for example excluding VAT throughout. Keep agreed items separate from optional extras. Your budget holder can then see the cost of the planned setup and which decisions are still open.

Work through a second scenario

Suppose you are organising a knowledge-sharing event for 400 attendees, with room to expand to 500. Ask which budget items would change at each attendance level. Extra badges are one consideration; also look at arrival times, the check-in setup and staffing.

Five hundred people arriving throughout the morning may need a different reception setup from five hundred arriving within twenty minutes. Discuss the expected peak as well as the total number.

Compare the two scenarios and allow for changes that are realistic for your event. Agree who can approve additional costs. When plans change, you can quickly assess the impact on your schedule and budget.

Prepare a clear brief for your quote

You do not need to have every detail confirmed. The following information gives your event partner a useful starting point:

  • Event date, venue and number of event days.
  • Expected attendance, attendee groups and arrival pattern.
  • Required registration process, communications, session choices and any payments.
  • Badge, check-in and on-site support requirements.
  • Your team’s responsibilities and any decisions you would like to discuss.

If you organise several events each year, include that schedule in the discussion. You can then consider which parts of the setup can be reused and what needs to change for each event.

Frequently asked questions about registration budgets

Can I prepare a budget before attendance is confirmed?

Yes. Use a realistic estimate and a second scenario. Ask for the proposal to specify which amounts depend on quantities and when final numbers are required.

Is event registration always priced per attendee?

The pricing structure depends on the project. Setup, selected features, materials and support can all contribute, alongside attendee numbers. Activo provides a proposal tailored to your event.

Which costs are easy to overlook?

Consider consumables, on-site support, any transaction fees for paid registration and work resulting from changes. Include your own team’s time in the planning as well.

How can I keep track of changes?

Keep the agreed assumptions with your budget. For each change, ask what additional or reduced work and costs it involves, and have the designated budget holder approve it.
