Badges and lanyards: which style suits which type of event?

badge examples

An event badge is a personalized name tag that an attendee receives at check-in after their e-ticket has been scanned; through its color, design, and lanyard, it indicates who the person is and which target group they belong to.

Name, organization, and logo form the foundation. After that, it becomes a matter of choice: include the person’s role or not, make the target audience visible or incorporate it subtly through color. The less you put on it, the more readable it is from two meters away. See e-tickets, badges, and lanyards for the available options.

Color and lanyards as a visible structure

The design matches your organization’s corporate identity and is combined with the theme of your event. This creates a consistent visual line from the invitation and event website to the moment your guest walks in.

If you are working with multiple target groups, the badge becomes your silent form of direction. Speakers, press, invited guests, and exhibitors can be identified by color or lanyard. This reduces questions at the entrance and makes the venue easier to navigate. At events such as World of Incentro and the Automotive Expo, this approach was used effectively.

For a relationship event, you will often choose a calm, high-quality design. For a trade show or family day, a more robust and clearly distinguishable version is usually better, because there are more people moving around together.

How the badge reaches the guest

The guest presents their e-ticket with a QR code, the code is scanned, and their name appears immediately on the screen. They are then handed their badge and lanyard. This takes only a few seconds per person, so queues do not build up. See event venue access control.

Activo is present on-site and handles the distribution at the reception desk. Your team does not need to stand behind the table and can focus on the guests and the brand instead.

Where things usually go wrong

Too much text, a logo that disappears into the background, or target groups that are only decided on the day itself. The latter is the most costly: the distinction between groups should be defined during registration in the event registration system, not at the entrance.

Activo has now supported more than 5,000 events for organizations such as ASML, KPN, and Triodos Bank. The recurring lesson is that badges are a design decision, not a last-minute printing task.

Frequently asked questions about badges and lanyards

Can Activo handle only the access control, without the rest?

Yes. For each event, you can decide exactly which services to outsource: only on-site QR code scanning and badge distribution, or the entire process from invitations to badge production.

Can the event be branded according to our corporate identity?

Yes. The event website, e-tickets and badges are designed in your organization's corporate identity, combined with the event's visual theme.

What happens during peak arrival times?

Because QR codes are scanned using mobile phones, additional scanning points can easily be added, all connected to the same attendee list. Activo takes care of both the setup and on-site staffing.

Can different attendee groups have different access rights?

Yes. Speakers, exhibitors, invited guests and staff each receive their own e-ticket and badge. When scanned, the attendee category is displayed immediately.

Is there a self-service option?

Yes. Activo NEXT is our self-service event platform that lets you manage registration, communication and attendee administration yourself, with support from Activo whenever needed.

What reporting do you provide after the event?

You'll receive a complete overview of everyone who actually attended, based on the QR code scans at the entrance. No manual counting is required.
