Royal Anthos: Event registration and time-slot management for 12,500 visitors
For Tulip Day Washington, Royal Anthos organized a large-scale public event where approximately 12,500 visitors could pick a free bouquet of tulips at Union Square in Washington, D.C. To ensure a safe and well-managed visitor flow, a reliable event registration system with timeslot registration and digital access control was essential.
Royal Anthos selected Activo because of our experience with events that require the efficient registration, distribution, and admission of large numbers of visitors. The goal was to provide a user-friendly registration platform where visitors could easily reserve tickets, while giving the organization real-time control over capacity, communication, and visitor numbers.
Our approach: an event registration system with timeslot registration
For Tulip Day, we developed a fully responsive event registration website in the event's branding. Through the online registration process, visitors could register free of charge and immediately select one of the ten available timeslots. Each timeslot had a maximum capacity of 1,250 visitors, ensuring an even distribution of visitor traffic throughout the day.
After registration, visitors automatically received a personalized QR code e-ticket. Shortly before the event, a reminder email containing the e-ticket was sent again to help reduce no-shows. Through the user-friendly CMS, Royal Anthos had continuous insight into all registrations, could easily modify data, and had exports readily available for the organization.
Fast QR code access control with real-time insights
On the day of the event, speed and reliability were key. Using the Activo E-ticket Scan App, QR codes were scanned instantly from either a smartphone or a printed ticket. The system automatically verified whether visitors arrived during their assigned timeslot and provided the organization with real-time insight into attendance numbers.
Visitors without an e-ticket could also be quickly located or registered on-site. Thanks to the live reporting features, the organization always knew exactly how many visitors were present and could accurately monitor the capacity of each timeslot.
A scalable solution for an international public event
With Activo's registration system, Royal Anthos had a complete digital solution for registration, ticket distribution, and access control. The combination of automated e-ticketing, timeslot capacity management, and real-time visitor information ensured a controlled visitor flow during an event with thousands of participants.
This project demonstrates how a professional event registration system helps organizations efficiently, safely, and user-friendlily manage large-scale public events. By bringing registration, communication, and access control together in a single platform, organizers maintain full control over every stage of the event.
