Registering speakers and conference hosts

Before a conference, speakers need different information from attendees. A conference host also needs to know who will be on stage, how the programme will run and who handles changes. Tailoring registration and communication to their roles helps you maintain oversight and gives the people on stage a clear preparation process.
This does not need to become a separate process with additional attendee lists. Start with one current registration record per person, including their roles and the arrangements that apply to them. The programme committee can then focus on content while keeping track of who is attending, what is outstanding and who will welcome them.
Tailor registration to the role
First establish who invites speakers and conference hosts on behalf of the organisation and confirms their participation. Agreeing to speak does not complete a conference registration. Arrival arrangements, attendance at other activities and contact details still need to be recorded.
Set up appropriate questions and communication for these groups. A personal invitation can help. Agree how roles are assigned so that someone cannot register as a speaker through the public form without prior agreement.
A speaker may also attend as a delegate or chair a session. Add those arrangements to the existing registration rather than registering the person again. This avoids conflicting versions of contact details and gives the organisers a more useful overview.
Ask for the information you actually need
Before sending invitations, establish what the programme committee, communications team and reception staff need. For a speaker, this might include:
- The preferred name, job title and organisation for the programme and badge, with a short biography and photo where needed.
- The title and description of the contribution and the agreed presentation format.
- Attendance on conference days and participation in lunch or other sessions.
- Technical requirements and a way to contact them about practical arrangements.
Request additional information only when you will use it for this conference. Also agree which text and photo you will publish. A name in a registration record is not necessarily the correct wording for an introduction on stage.
Provide a clear submission route, file requirements and deadline for presentations. Agree with the technical team who checks the files and which version goes onto the presentation computer. Receiving a file does not automatically mean it has been technically tested.
Connect abstract acceptance to the correct presenter
At a scientific conference, a contribution may begin in the abstract review module. After assessment, the committee still needs to decide how the contribution fits into the programme and who will present it. The submitter, author and actual presenter can be different people.
After acceptance, confirm the presentation format, the presenter and the next registration steps. Check whether the presenter has already registered. An accepted abstract may become a poster or a presentation within an existing session; it does not automatically become a new session or a completed speaker registration.

Separate registration confirmation from programme arrangements
First confirm that the registration has been received. Share programme information once it is sufficiently settled. If arrangements are provisional, say so and explain when the speaker can expect an update.
The practical briefing includes the conference date, the speaker's slot, the room, the requested arrival time and the on-site contact. Distinguish between arrival, any technical rehearsal and the start of the contribution. Also explain where to report and how to submit the presentation.
The conference host additionally needs a current overview of the sessions and speakers they will introduce or moderate. This includes accurate introductions, name pronunciation, discussion arrangements and the time available. The committee should decide who provides the content briefing.
Agree how changes will be communicated
Maintain one current programme overview and appoint someone to update it. When a time or room changes, check which people and communications need updating. As well as the speaker, this may include the host, technical team, room stewards and attendees.
Agree who sends targeted updates and how important changes will be acknowledged. Do not assume that editing the programme automatically triggers a new personal email. An updated programme in the Event App can help, but it does not replace that coordination.
If something changes shortly before a speaker's slot, contact the people concerned directly. The organisers can then confirm that they have received the new arrangement and are not still relying on an older briefing.
Make arrival a clear handover
Discuss the reception arrangements that suit the number of speakers and their arrival times. This could be a designated contact at the regular desk or a separate welcome point. A dedicated scanning point is useful only if staffing and the route through the venue support it.
The reception team needs to know the next step: issue a badge, alert the contact person or direct someone to the speakers’ room. Agree who accompanies speakers and who makes programme decisions if someone is delayed. Activo can support check-in and badge distribution; on-site services are agreed in advance.
A check-in shows that someone has visited the registration point. It does not show that the speaker has tested the presentation or is ready at the right room. Establish clear team arrangements for that handover. Internal arrival information belongs in the agreed organiser overview, rather than automatically appearing in the attendee Event App.
Separate published content from internal information
A biography and approved portrait may be intended for the public programme. A personal phone number or practical note is for a more limited team. Agree who needs which details and how they will be shared. The technician can then receive the presentation without all the other registration data being circulated.
Before the conference, check who can access internal overviews and what attendees will see. Also agree how files will be retained and cleared after the event.
