The e-ticket as the first brand touchpoint of your event

An e-ticket for a business event is a personalized digital admission pass featuring a unique QR code; it can be fully styled to match the organization’s corporate identity and serves as the first tangible brand touchpoint prior to arrival at the venue.

You’ve spent months crafting your event’s brand experience—the theme, the event website, the invitation. Yet, when your guest opens the confirmation email, they find a generic-looking ticket. That is exactly where the branding falls flat. An e-ticket is a brand touchpoint, not just a technical attachment. Activo turns it into an extension of your brand identity—something we’ve been doing since 1997.

Why the e-ticket is a branding opportunity

There is often a gap of several weeks between registration and the event itself. During that time, the e-ticket is the only tangible link your guest has to your event. They open it, add it to their digital wallet, and show it to colleagues. That represents reach you don’t want to waste.

At Activo, the entire invitation process is designed to reflect the client’s corporate identity combined with the event’s specific theme. This applies to the event website, the email communications, and the e-ticket itself. In the World of Incentro case study, for example, registration, e-ticketing, and badge issuance were all seamlessly aligned.

From e-ticket to badge: a lasting touchpoint

The e-ticket’s QR code is scanned at the entrance, and the participant immediately receives their badge and lanyard. They wear that badge all day long. You determine the display of names, logos, colors, and lanyard design in advance to ensure everything aligns perfectly with your brand. See e-tickets, badges, and lanyards.

If you are working with different target groups, the badge also serves as a visual organizational tool: speakers, press, invitees, and exhibitors are instantly recognizable. For you, this means managing the experience; for your guest, it simply means clarity.

A queue-free welcome is part of your brand

The first two minutes set the tone. Scanning takes just a few seconds per person, so your guests keep moving instead of waiting. Activo handles on-site check-in and badge issuance, allowing your team to focus on the brand and the guests rather than the registration desk. Activo manages this entire process—from invitation to badge—for organizations such as ASML, KPN, and Triodos Bank. Supporting over 5,000 events has taught us a simple lesson: the welcome isn't just a logistical detail; it is the moment your brand truly makes an impression.

Real-time insights during your activation

Since every scan is logged, you can see live during the event how many guests have arrived and which target groups are still on their way. If you also use an event app with an e-ticket, guests can find the program, practical information, and their e-ticket all in one place—styled to match your event's branding.

Frequently asked questions about e-tickets and brand experience

What exactly is the difference between an e-ticket and a confirmation email?

The confirmation email confirms the registration; the e-ticket included within it serves as the proof of admission. The e-ticket features a unique QR code linked to a single participant. This code is scanned at the entrance.

Does a participant need to print their e-ticket?

No. The QR code can be displayed on a phone or on paper; both can be scanned. A participant who has neither with them can be looked up in the registration system at the desk and checked in regardless.

Do you need special scanners for e-tickets?

No. Activo’s E-ticket Scan App scans QR codes using a mobile phone, without the need for additional hardware. Activo handles the setup and staffing of the reception desk on-site.

Can you see who is inside during the event?

Yes. Each scan is registered immediately, so you can track in real time how many participants have checked in. Afterwards, you have an overview of who was actually present.

Does an e-ticket also work for a paid event or conference?

Yes. Upon paid registration, the participant receives a PDF invoice in addition to the e-ticket. For conferences, Activo combines this—where necessary—with paid event registration and the abstract review module.

Can you set different access rights for each target group?

Yes. Speakers, exhibitors, invitees, and staff members can each receive their own e-ticket and badge. Upon scanning, you can immediately see which group they belong to.
