A line such as ‘Try the new application yourself and discuss what it could mean for your organisation’ gives the invitation a clear purpose. Only make that promise if the programme can fulfil it.
Not every launch needs an element of mystery. Sometimes a small preview works well; sometimes a clear explanation of the product is more helpful. We help you plan an approach that fits your campaign, audience and the agreed timing for releasing information.
Phase 1 Build interest and share the date
A teaser or save-the-date gives your audience an initial point of reference. Introduce the campaign's visual identity, explain why the event is relevant and share the date once it is confirmed. Include the venue or region when that helps people plan their visit.
The teaser does not have to be a full invitation. You can announce when registration will open, or accept bookings already if the programme is sufficiently clear. If you are only collecting expressions of interest, explain that these do not secure a confirmed place.

Phase 2 Connect the invitation to registration
The main invitation makes the visit tangible. Invitees should be able to see quickly:
- Why attend: what they can discover, try or discuss.
- Who it is for: which audience the programme is intended for.
- When and where: the date, arrival time, programme and venue.
- How to take part: how to register, any costs and relevant conditions.
Give the email one clear primary action, such as ‘Explore the programme and register’. The event website carries through the same promise, imagery and tone. Visitors recognise where they are and can easily take the next step.

- Registered: relevant updates and final practical information, such as the selected time, directions and ticket.
- Declined or cancelled: no further request to register for the same event.
There is no fixed number of emails that works for every product launch. A programme update can be useful; an extra message with nothing new adds little. We align the timing and recipients with the lead time, responses and what attendees still need to know.
Make the welcome deliver on the invitation
Your campaign's promise carries through to the event day. Someone attending a demonstration wants to know where it takes place. An attendee with a time slot expects arrival arrangements that reflect it.
