After your conference has started, you still want to give arriving participants a calm welcome and guide them to the right session. A clear process helps: the reception team knows what to do, room stewards understand the admission arrangements, and attendance records reflect the actual visit.

Agree where late arrivals can go

Plan reception for the full conference day. After the initial arrival peak, a smaller service desk may be enough. If new participants join for the afternoon, you may need additional staff again. We discuss what your programme requires and which tasks your own team can handle.

Agree at least the following in advance:

  • Availability: when reception closes and where participants can go afterwards.
  • Responsibilities: who checks participants in, issues badges and handles registration queries.
  • Authority: who can approve session changes or other exceptions.
  • Handover: who takes over reception and which equipment and information remain available.

Include arrival instructions in the confirmation and practical participant information. Give anyone arriving later a clear location or contact option. This helps them avoid having to work out what to do at an unattended desk or at the session door.

Complete check-in before directing someone to a session

A late participant goes through the same basic checks as other guests. The team checks the registration, records the check-in and issues the badge. On-site printing is an option when it forms part of the agreed setup.

A forgotten e-ticket does not have to mean a new registration. The reception team can look up the existing record. Replacements or additional participants are subject to the organiser’s admission arrangements. Read more about the options for access control at your event venue.

Then give one clear instruction: which room to go to, which entrance to use and whether the participant can enter immediately. The speaker can continue the session without taking over reception duties.

Coordinate admission with the room steward

Some sessions allow participants to join quietly at the back. During a recording, assessment or interactive activity, waiting for a suitable moment may be more appropriate. The programme lead sets the approach; the room steward follows it and can ask for advice on exceptions.

If the chosen session has started or no longer admits participants, ask the team to check a suitable alternative. Consider the session booking, access rights and available places. Missing a session does not automatically grant access to another room.

Record an approved change within the existing registration. An apparently empty seat may still be reserved for another late arrival. Agree beforehand whether and when reserved places can be released.

Reflect overruns in the programme and communications

Suppose the plenary session runs fifteen minutes late. Have one programme lead decide what this means for breaks, room changes and subsequent sessions. A later finish in one room does not necessarily require shifting the entire conference programme.

First tell the affected room stewards, speakers and reception staff what has been decided. Then update participant information consistently. Check that people still have enough time to move between rooms.

If you use the Event App with programme and e-ticket, agree who publishes revised times or rooms and how updates are announced. Also inform participants at the room or through the event chair. Not everyone sees a digital message immediately.

Record relevant actual start and finish times for the evaluation and any attendance assessment. This provides context when someone arrives at the revised start time but appears late compared with the original programme.

Match the records to the attendance requirements

A check-in at the entrance records an arrival, not full participation in every session. A single scan at a session door does not, by itself, show how long someone remained inside.

For a certificate of attendance or professional development credits, establish the applicable requirements and the evidence needed beforehand. This may require records by day or session, or records of arrival and departure. The relevant training organisation or accrediting body sets the requirements.

Close the conference day carefully

Keep scanning points available for the tasks that still need to be completed. If departure recording is agreed, it must remain possible when the programme overruns. Establish who decides on extended staffing and who handles the handover. Discuss this when planning on-site support.

Afterwards, review missing records and documented exceptions before finalising reports or certificates of attendance. Agree who may assess corrections, how they are supported and which data must remain available. Do not fill in missing attendance solely from the original session booking.

Can participants check in after the official start

Yes, when reception and access are arranged for this. Agree how late they can arrive, where they should report and who remains available. Check separately whether they can enter the session already in progress.

Can late arrivals still receive professional development credits

This depends on the applicable requirements and recorded participation. An entrance scan alone does not prove that all content was attended. Agree the necessary attendance records with the responsible organisation in advance.

How do you arrange a session change during the conference

Ask the designated team to check which alternatives are available and permitted. Once approved, record the change within the existing registration. Agree beforehand how the participant will receive the updated programme.

What if a participant missed a scan

Ask the designated staff member to establish what happened and what supporting information is available. Process an approved correction using the agreed procedure. A missing scan does not necessarily mean the participant was absent.
