Preventing duplicate registrations for your conference

An up-to-date attendee overview gives your conference team a reliable basis to work from. You can see who has registered, which sessions they have chosen and what information is still needed. Limiting duplicate registrations and correcting them carefully keeps that information useful for the conference office, programme committee and reception team.

Help attendees return to their existing registration

A clear confirmation helps attendees know that their registration has been completed. A completed registration should therefore have a recognisable on-screen message and an email confirmation. It should also be clear where people can view or change their details, or ask for help.

If the confirmation is missing from their inbox, first check whether the registration was recorded. For an existing registration, a personal link or login can help the attendee continue securely. We agree how that access is provided. Uncertainty then need not lead to a new booking.

A personal invitation link helps identify the registration, but is not automatically a link that expires after one use. We agree what happens when it is opened again and which details the user can view or change.

Use the email address as a point of reference

Checking email addresses can flag a repeated registration. We agree the response that suits your conference: returning to an existing registration or contacting the conference office.

An email address is not conclusive proof that two records refer to the same person. One attendee may use a work address and a personal address. Conversely, an administrative team may use the same contact address to register several specialists. We therefore distinguish between the attendee and the person handling the registration.

For a possible duplicate, we consider several details together, such as name, organisation and contact information. Two identical names are not enough to cancel a registration automatically either. This protects valid registrations while helping identify possible duplicates.

Bring all registration routes together

Attendees may reach the same conference through different routes. A member receives an invitation, a sponsor registers guests, and an administrative contact books places for colleagues. We connect those routes to the same attendee management system and agree how overlaps will be checked.

We also establish what counts as a duplicate for your conference. Attending two conference days, booking several sessions or being both a speaker and an attendee does not automatically make a registration a duplicate. Nor should a booking for a previous edition prevent someone registering for the new conference.

Your organising team can then see which registration belongs to which edition, role and attendance option. There is less need to keep reconciling separate lists.

Correct duplicates with care for sessions and payments

If two records are confirmed to be duplicate registrations, we help establish which details are correct and which registration should be retained. A registration should only be cancelled once it is clear what is linked to it.

We consider three areas:

  • Sessions and additional activities. The intended choices are retained. Only a genuinely surplus reservation is cancelled. Any released place is handled according to the configured waiting-list process.
  • Payments and invoices. We compare payment status and invoice details. Cancelling a registration does not automatically reverse a payment. Any duplicate payment or invoice correction needs separate handling with the finance team responsible.
  • Tickets and communication. We agree which e-ticket remains valid, what happens to a surplus ticket and which confirmation the attendee receives. We also account for badges and working lists already printed.

Keep attendance records traceable for accreditation

Accurate attendee records help link recorded attendance to the right person. This matters when your conference supplies information for accreditation. Registration alone does not prove that someone attended.

We align attendance tracking with the information your conference needs to provide. This may cover a whole day, part of a day or individual sessions. If a duplicate is corrected after check-in, the existing attendance records need to be preserved and linked to the right attendee.

Frequently asked questions about duplicate registrations

Can an administrative contact register several attendees

This can be included in the setup. We distinguish between the contact person and the individual attendees. A shared contact address then does not automatically mean that the registrations are duplicates.

Can the system identify duplicates that use different email addresses

An email-only check is not sufficient. We discuss which additional checks suit your conference and how possible matches will be assessed. Names and organisations can help, but need to be checked before registrations are combined or cancelled.

How do you handle personal data during these checks

We use the information needed for registration and the agreed checks. The platform is designed with attention to GDPR requirements. Access to attendee information and retention periods are agreed with your organisation.
