Print event badges on site or in advance

Print event badges on site or in advance | Activo

For your client, the badge is part of the event’s first impression. For your team, distribution also needs to work smoothly: the right name, a recognisable design and enough flexibility to handle changes. Choosing whether to print in advance or on site therefore starts with the full reception process.

Activo helps you make that choice for each event. We consider the participant list, the badge specification, peak arrivals and your agency’s responsibilities. This gives you a sound basis for your proposal and helps your client understand what delivery will involve.

On-site printing leaves room for changes

With on-site printing, the personal badge is produced during reception using the registration data. This can suit events with replacements, new participants or name changes close to the event date. Update the record first so the print job uses the correct information.

Production can be arranged in different ways. Options to discuss include a fully printed badge or a preprinted base personalised on site. We establish which materials and finishes suit the intended appearance and equipment.

A personal badge then does not need to be printed for someone who does not attend. Preparation, equipment and available materials still carry costs. You also need space, power, a working setup and agreed backup arrangements. Explore the options for e-tickets, badges and lanyards.

Printing in advance moves work into preparation

Printing in advance is worth considering when participant details are available early enough or when materials and finishing require a separate production step. It can also suit events where badges are distributed before the main programme.

Your team does not have to wait for a print job during standard badge distribution. However, badges must be sorted, transported and found quickly. Agree a consistent arrangement, such as by surname or clearly separated audience group, and allow sufficient desk space.

Set a deadline for providing production data and decide how later changes will be handled. An additional printer can help if a suitable location, power and compatible materials are available. If those facilities are absent, agree another correction process in advance. Both printing methods can deliver a professional badge in your client’s branding.

Combine the methods where it makes sense

A combined approach can suit a fixed group alongside a changing participant list. For example, you could produce badges in advance for a stable group and print on site for everyone else. Another option is advance production with a separate printing point for approved changes.

Make it immediately clear to the reception team which process applies. Agree how replacement badges match the design and which old badges must no longer be issued. Combining methods adds steps; the benefit should justify the extra materials, equipment and briefing.

Test the full process before your event

A short printing time does not tell you how many participants you can welcome per minute. Measure the journey from presenting an e-ticket to receiving the badge and lanyard. For preprinted badges, include finding and collecting the correct badge.

Test with the chosen materials, long names and the actual desk layout. Check whether staff can work simultaneously or have to wait for the same printer. Keep a separate point available for queries and changes. Read more about setting up the check-in desk.

Match capacity to the busiest arrival period, with room for delays. Online check-in also requires a working connection. Agree who takes action if a printer or connection fails and what temporary process is available.

Compare the total cost for your client

A useful comparison goes beyond the price per badge. Include design, proofs, materials, production and transport, as well as sorting, equipment, setup and staffing. Add the expected cost of changes and backup arrangements.

Advance production can leave unused personalised badges. On-site printing can reduce this, but requires a different level of support during the event. The more economical option depends on the full comparison. We discuss the assumptions so your proposal and delivery plan align.

Agree approvals and responsibilities

Agree with your client who checks the design and participant details and when approval is required. Decide whether a digital proof is sufficient or whether a physical sample is needed to assess colour, legibility and material.

Then establish who supplies, connects and tests the equipment, who may process changes and who handles reprints. We tailor Activo’s on-site support to your team. This includes staffing hours, the main contact and how we work together in front of your client. Share participant data only with staff who need it for their role.

Frequently asked questions about printing badges on site or in advance

How quickly can a badge be printed on site

This depends on the printer, material, layout and print job processing. Test the full check-in and badge distribution process. Printing time alone is not a reliable measure of participant flow.

Can both methods achieve the same appearance

That is the starting point when choosing the design. Align materials, printing and personalisation, and review the agreed proof. Replacement badges need particular attention when the main production uses special finishing.

Which method suits frequent last-minute changes

On-site printing is often worth exploring. Also compare a combination of preprinted badges and a separate correction point. Peak arrivals, available facilities and the required badge specification determine which approach is workable.

Discuss the badge approach for your event

Share the expected participant numbers, arrival window, preferred badge and typical volume of changes. Tell us which tasks your team wants to handle. We help you develop a suitable approach, including the preparation and support it requires. This gives you a clear recommendation for your client and a practical reception plan.
